Search firms in Toronto, Vancouver and Calgary work across two vocabularies. Some clients ask for a CV and others, often US-headquartered, for a resume, and some mandates need every client document in English and French. A board search for a Crown corporation and a CFO search for an Alberta energy producer each end in a different pack of candidate reports and slate presentations.

1. Formatix AI
Best for: Canadian search firms whose clients expect more than a reformatted CV
Formatix, based in London, turns your notes, CVs and assessment data into the documents a mandate is judged on, using a template your firm already sends. It keeps that file's colours, typefaces and layout, so Calgary and Toronto offices produce the same-looking report.
Data is processed in the UK and EU under GDPR and never used to train AI models, which means candidate information leaves Canada. Plans are charged in Canadian dollars at checkout. It does not score candidates or interpret psychometrics, and is not affiliated with or endorsed by any test publisher.

2. Gorilla Resume
Best for: staffing and RPO teams in Canada that need English and French resumes
Gorilla Resume is the resume formatting product from GorillaWorks, which says it operates across the US and Canada and runs contractor payroll in every province and territory, handling privacy rules including PIPEDA. Gorilla Resume parses resumes into your branded templates, including client-specific templates, exports DOCX or PDF, pulls from and saves back to your ATS, and supports English and French.
GorillaWorks states ISO 27001 certification. There is a 14-day free trial; pricing is not published.
Less suited to: retained search firms that need assessment reports, board papers or PowerPoint slates, which are not part of its published features.
3. Invenias by Bullhorn
Best for: boutique search firms that want candidate summaries out of their search platform
Bullhorn describes Invenias as a boutique executive search platform with more than 700 customers and 10,000 users worldwide. Its product page says firms can capture data and executive insights and summarize candidate profiles to share with clients in deliverables that represent their brand.
Less suited to: firms keeping their current database, or needing assessment reports and succession packs in a fully custom design.
4. FileFinder
Best for: executive search firms that report to clients from their database
FileFinder Anywhere, from Ikiru People, part of Dillistone Group, combines database, project management, web research and CRM tools for executive search firms and in-house strategic recruiting teams. Its site says you can generate client reports and export them directly to Word or Excel, and share selected information through a client portal where clients review search status and comment on candidates.
It also integrates with Outlook.
Less suited to: firms that want PowerPoint slate decks or designed assessment reports in their own template rather than database reports.
5. Allsorter
Best for: larger staffing firms already on Bullhorn, JobAdder or Vincere
Allsorter says it is trusted by more than 400 recruitment and staffing organizations and covers sourcing to candidate presentation with Nexus, its shortlisting layer. Its integrations page lists JobAdder, Bullhorn, Salesforce, Tracker, Vincere and Mercury. Pricing is by quote.
Less suited to: smaller search firms wanting published pricing, or search documents beyond the resume.
- You place contractors or volume hires in Ontario, BC or Alberta and need English and French resumes: Gorilla Resume, especially if you also want GorillaWorks for payroll.
- You are replacing your search database: compare how Invenias by Bullhorn and FileFinder reports look to your clients before you migrate.
- Your staffing team lives in Bullhorn, JobAdder or Vincere and formats at volume: Allsorter.
- You send board papers, assessment reports, slate decks or succession packs in your own design, in English or French: Formatix AI.
- You have Quebec clients or candidates: before choosing any tool, ask where data is processed and expect to complete a privacy impact assessment under Law 25.
What CV formatting software do Canadian executive search firms use?
Many rely on reporting in their search database, such as Invenias by Bullhorn or FileFinder. Staffing and RPO teams add formatters such as Gorilla Resume or Allsorter. Firms that send assessment reports, board papers, slate decks or succession packs in their own design use Formatix AI, which outputs Word, PowerPoint, Excel and PDF.
Can a tool produce candidate profiles in both English and French?

Can we use a CV tool hosted outside Canada under PIPEDA and Law 25?
PIPEDA does not prohibit processing outside Canada, but your firm remains accountable for the data, should protect it by contract and should be open with candidates about it. Alberta and British Columbia have their own private-sector privacy acts, and Quebec's Law 25 requires a privacy impact assessment before personal information is communicated outside Quebec. Ask every vendor where data is processed; Formatix processes it in the UK and EU under GDPR and never uses it to train AI models.
We already use Invenias or FileFinder. Do we still need a formatting tool?
Not for routine status reports, which both produce. A separate tool helps when clients expect designed documents such as assessment reports with psychometric charts, PowerPoint slate decks or succession packs.
What does CV formatting software cost in Canada?
