Can ChatGPT format candidate CVs into my agency's template?

    · Formatix AI team, London

ChatGPT can rewrite and summarise a CV well, but it writes new text into a chat or a new file; it does not reliably reproduce your agency's own Word, PowerPoint or Excel template with your fonts, logo and layout, every time, for every consultant. Formatix does that one job: it reads the CV and fills your actual template, so the file that goes to the client is your branded document and can be edited. The two also work together: through the Formatix connector, you can format a CV into your template from inside ChatGPT, free for 5 CVs a month when ChatGPT reads the CV.

No card needed. Trial credits are valid for 14 days; plans start at £20 a month.

What a client receives from Formatix: the firm's own Word and PowerPoint templates, filled from the CV (fictional firm and candidates).

What ChatGPT does well, and where it stops

    • Summarising a long CV, rewriting a profile paragraph or drafting a cover note to a client: ChatGPT is good at this, and it is fast.
    • Answering questions about a CV ("how many years of P&L responsibility does she have?") from the text you give it.
    • Where it stops: your template. ChatGPT produces new text or a new document, not your agency's existing Word file with its exact styles, header, logo, tables and page layout. Getting the same result each time means pasting the same long instructions and checking the output by hand.
    • Consistency across a team: each consultant's prompt and each answer differ, so profiles from the same agency drift apart.
    • PowerPoint and Excel in your design: a branded shortlist deck or a candidate tracker in the client's agreed format is not something a chat produces reliably.
    • Volume: a batch of 20 CVs into 20 profiles, a deck and a tracker that agree with each other is a pipeline job, not a chat.
A one-page candidate profile in Word with a header, profile summary, career history and consultant's view, for a fictional candidate
A candidate profile filled from a CV (fictional candidate).
An anonymised candidate profile in Word with the name and identifying details removed, for a fictional candidate
The same candidate as a blind profile, with identifying details removed (fictional candidate).
An Excel candidate tracker with one row per fictional candidate and columns for role, location, status and notes
An Excel tracker filled from the same batch of CVs (fictional candidates).

    Using Formatix inside ChatGPT

    1. Step 1

      Connect Formatix

Add the Formatix connector in ChatGPT (it also works in Claude and Perplexity) and sign in to your Formatix account.

    2. Step 2

      Give it the CV

Attach or paste the CV in the chat and say which of your templates to use, for example "format this into our candidate profile".

    3. Step 3

      Get your own file back

Formatix fills your template and returns the Word, PowerPoint, Excel or PDF file in your brand, ready to edit and send.

    4. Step 4

      What it costs

Free for 5 CVs a month when ChatGPT reads the CV itself (confirmed company email, no card). Beyond that, or with Formatix's own extraction, it uses your account's credits.

    Candidate data

    • A CV is personal data. Before pasting CVs into any AI chat, check your agency's policy and the plan's data settings; OpenAI's own pages explain when chats on its personal and business plans are used to improve its models.
    • Formatix processes documents under the UK and EU GDPR, with the platform hosted in London and its AI sub-processors listed in our Data Processing Agreement; nothing you upload is used to train AI models. Records can be set to delete themselves after a period you choose.
    • Blind profiles remove the name, photo and identifying details in the template itself, so the anonymised version is consistent every time.

    ChatGPT, Formatix, or both?

They are built for different jobs. ChatGPT is a general assistant; Formatix is built to turn candidate documents into the files a recruitment firm sends clients.

    When each fits

    • ChatGPT on its own: a quick summary of a CV, a rewritten paragraph, or questions about a candidate, where the format does not matter.
    • Formatix: every document that goes to a client in your brand: candidate profiles, blind profiles, shortlist decks, trackers and reports, for the whole team and in batches.
    • Formatix inside ChatGPT: consultants who already work in ChatGPT and want the branded file without leaving the chat.

The other tools are described in general terms from their public product pages in October 2026; features change, so check each vendor's site. If something here is out of date, email [email protected] and we will correct it.

    What it costs

1 credit = 1 CV. Plans run from £1 per CV (Solo, £20 a month for 20 credits) to £0.77 per CV on Enterprise monthly, and from £0.71 per CV on Enterprise annual, billed in your local currency.

New accounts get 10 free credits with no card, valid for 14 days. In ChatGPT and Claude, Formatix is free for 5 CVs a month when the assistant reads the CV.

    Frequently asked questions

Can ChatGPT format a CV into my agency's template?
Not reliably. ChatGPT can rewrite a CV and create a new document, but it does not fill your existing Word, PowerPoint or Excel template with its exact fonts, logo, tables and layout every time. Formatix fills your actual template from the CV, and it can do so from inside ChatGPT through its connector.
    Is Formatix available in ChatGPT?
Yes. Add the Formatix connector in ChatGPT and sign in; it also works in Claude and Perplexity. Formatting is free for 5 CVs a month when the assistant reads the CV itself (confirmed company email, no card).
Why not just paste a CV into ChatGPT with a prompt?
For a one-off summary that works. For documents clients receive, the result depends on each prompt and each consultant, and it is new text rather than your branded file. Agencies use Formatix so every profile, deck and tracker comes out in the same template.
Does Formatix make up information that is not in the CV?
Formatix is instructed to use only what is in the CV and your notes, and not to add its own opinions or invent facts. The consultant reviews the document before it is sent.
Is candidate data used to train AI models?
Not by Formatix: nothing uploaded to Formatix is used to train AI models, and documents are processed under the UK and EU GDPR as set out in our Data Processing Agreement. For ChatGPT itself, check OpenAI's data settings for your plan.
Can it produce PowerPoint and Excel as well as Word?
Yes. Formatix fills Word, PowerPoint and Excel templates and can save any of them as PDF, for example a shortlist deck and a candidate tracker from the same batch of CVs.
What does it cost compared with ChatGPT?
ChatGPT costs whatever your ChatGPT plan costs. Formatix starts free (10 credits, and 5 CVs a month inside ChatGPT and Claude), then from £1 per CV, down to £0.71 per CV on Enterprise annual.

Try it on your own template
