What is the best software to format CVs for bids and proposals?
It depends on where your CVs live. Firms that want every consultant's CV maintained in one database and exported to bid templates use CV management platforms such as Flowcase or Sprint CV. Firms whose CVs sit in Word files, and who need to convert CVs into their company template or a different required form for each tender, can use Formatix AI to reformat any CV into that format per bid without building a database first. RFP response tools such as Loopio and Responsive manage written answers, not CV formatting, and many teams still reformat CVs by hand in Word.
No card needed. Trial credits are valid for 14 days; plans start at £20 a month.
What bid teams use today
- Word by hand: a proposal coordinator copies each CV into the tender's form. No cost beyond time, and full control, but slow and error-prone at 10 to 30 CVs per bid.
- CV and project databases for consultancies: Flowcase describes itself as the source of truth for resumes and projects at consulting and architecture, engineering and construction firms, and says resume and project data are pushed into bid-specific templates, with exports to Word in the client's own template, PDF, InDesign, PowerPoint and SF330 Section E (flowcase.com, October 2026). Sprint CV describes an enterprise CV manager for consulting and staffing companies that parses consultants' CVs into a searchable skills database and generates CVs in company or client templates (sprintcv.com, October 2026).
- RFP response software: Loopio describes itself as AI RFP software for RFPs, DDQs and security questionnaires, built around a library of reusable answers (loopio.com, October 2026), and Responsive (formerly RFPIO) offers AI agents for proposal responses (responsive.io, October 2026). Neither homepage mentions CV formatting.
- Formatix AI: turns any CV, in any layout or language, into the form you upload, in bulk, with an Excel staff schedule and PowerPoint team slides from the same batch.
How to choose
- You want a maintained, searchable record of every consultant's skills and projects, kept up to date by the consultants: a CV management platform such as Flowcase or Sprint CV.
- Your CVs are Word files on a shared drive, each tender brings its own form, and you need the pack done this week: Formatix AI, which works from the CVs as they are.
- Your bottleneck is the written technical answers, not the CVs: an RFP response tool such as Loopio or Responsive.
- You submit a few bids a year with a handful of CVs: Word by hand may be enough.
Where Formatix fits, and where it does not
Formatix reformats CVs; it is not a skills database or a bid management system. It does not keep a library of your consultants' projects for searching, and it does not write technical answers. What it does is take the tender's own CV form as a template, fill it from each person's existing CV and your notes in about thirty seconds per CV, and show each result beside the original for checking.
It is free to try: 10 free CVs, no card. Paid plans start at £20 a month for 20 credits, and one credit formats one CV. Data is processed in the UK and EU under the UK GDPR, and uploaded CVs are not used to train AI models.
Frequently asked questions
- Do we need a CV database to use Formatix for bids?
- No. Formatix works from the CVs you already have, in Word, PDF or scanned form, and fills the tender's form from them. There is nothing to set up beyond the template.
- Can RFP response software format our CVs?
- The homepages of Loopio and Responsive describe answer libraries and AI for RFPs, DDQs and questionnaires, and do not mention CV formatting. Check with the vendor if CVs matter to you.
- Is the information on other tools current?
- It is taken from each vendor's own website in October 2026. Products change, so check the vendor's site before you decide.
- How much does Formatix cost?
- New accounts get 10 free credits, valid for 14 days, with no card. Paid plans start at £20 a month, and one credit formats one CV.
